Posting Meetings for Boards and Committees

 Meeting Posting Reminders

  1. Plan your meetings ahead as much as possible 
  2. Check the calendar and website to make sure your meeting doesn't fall on a holiday 
    1. list of holidays/ religious holidays available on web site or by calling the town offices
  3. Check ahead to make sure your meeting space choice is available and not in conflict with regular monthly meetings and the librarian is aware that the meeting is scheduled  
  4. Make a complete posting  Regular monthly meetings can be posted with a baseline of information and then be updated with the agenda items which can  be sent to the Town Clerk within  the OML timelines of posting.  
    1. Put the meeting information in the regular posting format.  If you need a suggested format request one from the Town Clerk, and ideally create it as word document  so it can be an attachment to email.  The clerk is not required to edit your data , correct mis-spellings or cut and paste it into the correct format.  If you are dropping it off in person or in the town office mailboxes, please leave a phone or email message that it is there.  If you are updating your meeting agenda or venue; you must send a new posting with all the correct information.  The Town Clerk does not edit postings. Check the town web site; "townofpelham.org"  to make sure the Town Clerk is not away.
    2. Send the completed posting to "pelhamtownclerk@comcast.net" no later than 72 hours before your meeting which does not include  nights, weekends and holidays and also keep in mind that the Town Clerk hours are Monday Wednesday  and Friday from 10:30 am till 1:30 pm. If you send it, or drop it off later in the day or even later at night it might not be read until too late to post
      1. Make sure you get a confirmation of the posting such as "this meeting is posted"  or check with the town clerk to make sure it was received.                                                                                If you have any agenda updates or a confirmed changes in venue, make sure to send them to the Town Clerk in time to make the changes.
